Open Package

An Open Package recurring service lets you set an order quantity and a reorder level for the member. It is not necessary to designate a specific billing day of the month because, with Open Package, the member will be automatically billed again once their service usage reaches the reorder level.

When creating an Open Package recurring service, you should inform members that they could be billed at any time during the month because they may approach the reorder level at any time.

Open Package Example

Jane wants to buy 10 tanning visits today, but she does not want to worry about whether she is going to use 10 in a week or 10 in a year. Once she gets low on visits she wants to be automatically billed for an additional 10 visits.

You can create an Open Package recurring service with an order quantity of 10 and a reorder level of two (2). Once Jane has used eight (8) visits and has only two (2) visits remaining, Membership and Operations will automatically bill her again for another 10 visits.

Jane now has the flexibility she desires without worrying about running out of visits.

When creating the Open Package recurring service, the number of months is automatically set to Open Ended. As a result, Open Package recurring services are never unfunded. When the events are scheduled on the calendar, they are shown as Open Ended on the Edit Event page. Once the member pays for the service, the events are shown as Funded. Use the instructions in the Create Recurring Services section to complete the first page (General - Step 1) of the recurring services wizard.

Use the following instructions to complete the second page (Purchase - Step 2) of the recurring services wizard.

To complete the Open Package purchase section

  1. In the Billing section, select the Service Quantity: 2 to 200.
  2. Select the Reorder Quantity: 1 to 200.
  3. In the Purchase Today section, select the Service Quantity.
  4. Select the Discount.
  5. Have the member review and sign the agreement if applicable.
  6. Click Finish.

What happens when you click Finish will depend on the recurring services Auto Buy setting on the Edit Club page:

  • If Auto Buy is set to Yes, the Point Of Sale page will appear with that member and service already selected.
  • If Auto Buy is set to No, the Manage Recurring Services page will appear.
